Refund Policies

Students are responsible for officially withdrawing from courses through the Registrar's Office. Failure to attend class does not constitute an official withdrawal.

Students who do not complete the official withdrawal process remain responsible for all tuition, fees, and other financial obligations incurred. Financial aid recipients may be subject to federal Return of Title IV (R2T4) regulations.

Return of Title IV (R2T4) Policy

Federal financial aid is awarded with the expectation that a student will complete the enrollment period for which aid was received. When a student withdraws, stops attending, or otherwise fails to complete the term, federal regulations require UA-EACC to determine the amount of aid earned based on the student's actual period of attendance.

The Return of Title IV (R2T4) calculation applies to students who:

  • Officially withdraw from the College
  • Unofficially withdraw (stop attending without completing the withdrawal process)
  • Receive all failing grades due to non-attendance
  • Fail to return from an approved leave of absence
  • Otherwise cease academic participation before the end of the enrollment period

Determination of Earned Aid

Federal aid eligibility is earned based on the percentage of the payment period completed. When a student withdraws:

  • Aid is recalculated based on attendance.
  • Unearned federal aid must be returned.
  • UA-EACC is required to return applicable funds within 45 days of determining the student's withdrawal.

The 60% Rule

Students who complete more than 60% of the enrollment period are considered to have earned 100% of their Title IV aid for that period. Students who withdraw before reaching the 60% point may be required to return a portion of the aid received.

Order of Return of Title IV Funds

Returned funds are allocated in the following order:

  1. Federal Pell Grant
  2. Federal Supplemental Educational Opportunity Grant (FSEOG)
  3. Iraq and Afghanistan Service Grant
  4. Other Title IV Programs
  5. State, Institutional, or Other Aid Programs

Student Responsibility

Students who withdraw may:

  • Owe a balance to the College.
  • Be required to repay a portion of federal financial aid.
  • Experience an impact on future financial aid eligibility.
  • Be subject to Satisfactory Academic Progress (SAP) requirements.

Students are encouraged to consult with Financial Aid and Academic Advising before withdrawing from any course or from the College.
